Going paperless

How fast a document scanner do you need?

Enter your daily scanning, any backlog of boxes and how many hours you can spend scanning. ScanPace calculates the speed and duty cycle your scanner needs, project duration, file storage and in-house vs outsourced cost.

Choosing a document scanner by volume

Document scanners are rated by speed in pages per minute (ppm) and images per minute (ipm) – a duplex scanner that captures both sides at 40 ppm produces 80 ipm. Equally important is the recommended daily duty cycle: the number of pages the manufacturer expects the scanner to handle every day without excessive wear. ScanPace sizes the scanner using both, plus a realistic efficiency factor.

Required ppm = pages per day ÷ (scanning minutes per day × 0.55 efficiency)

    Why only 55 % efficiency?

A scanner never runs at full rated speed all day. Operators load batches, fix misfeeds, separate documents, check images and enter index data. In practice, real throughput is around half of the rated speed for mixed office paper – less for receipts, fragile pages or documents with many staples.

    Planning a backlog project

A standard banker's box (records storage box) holds about 2,000 – 3,000 sheets. Before scanning, documents must be prepared: staples and clips removed, folds flattened, sticky notes attached as separate pages and batches separated with barcode or patch sheets. Preparation often takes as long as the scanning itself. After scanning, quality control and indexing add more time.

Outsourced scanning bureaus typically charge $0.06 – $0.15 per page including preparation, plus pickup, indexing and secure destruction fees. For large backlogs and sensitive records that need a certified chain of custody, outsourcing can be cheaper and faster than tying up staff; for ongoing day-forward scanning, an in-house scanner usually wins.

    Features that matter

    Storage and compliance

A black-and-white page scanned at 300 dpi as compressed PDF takes about 30 – 80 KB; color pages 150 – 400 KB. One million pages in grayscale fit in roughly 60 GB. Keep two backups, use searchable PDF/A for archiving and check retention rules for financial, medical and HR records before destroying originals.

    Frequently asked questions

What scanner speed do I need?

    For up to about 1,000 pages a day a 25 – 35 ppm desktop scanner is enough; 2,000 – 6,000 pages a day need a 40 – 60 ppm workgroup model.

How many pages are in a box of documents?

    A standard banker's box contains roughly 2,000 – 3,000 sheets – about 2,500 on average.

How much does it cost to scan documents professionally?

Typically $0.06 – $0.15 per page including preparation, with extra fees for indexing, pickup and shredding.

What is the difference between ppm and ipm?

ppm counts sheets per minute; ipm counts images. A duplex scanner at 40 ppm produces 80 ipm when scanning both sides.

What resolution should I scan documents at?

300 dpi is the standard for text documents and OCR. Use 200 dpi for space saving or 400 – 600 dpi for small print and photos.

    About ScanPace

ScanPace is an independent, free calculator for planning document scanners and digitization projects in offices, law firms, medical practices and schools. We are not a scanner manufacturer or scanning bureau.

Every formula on this page runs entirely in your web browser. The numbers you type are never uploaded, stored or shared. Our goal is simple: give you an honest starting point so you can compare product specifications with confidence and avoid paying for capacity you do not need – or buying something too small to do the job.

The methodology combines widely published engineering rules of thumb, manufacturer data sheets and the electrical code practices that installers use every day. We review the assumptions regularly and update the calculator when typical product specifications change.
